AI Receptionist for Immigration Law Firms: 24/7 Intake in English and Spanish

Our AI receptionist answers your firm's calls and texts day and night, in English or Spanish. It tells callers it is an AI, collects their details, books consultations on times you approve, and sends urgent callers to a person. It never gives legal advice. It is part of Rocket Reach, the intake system Rocket Launch Media builds for US immigration law firms only.

Who it is for, and who it is not for

A good fit if:

Not a fit if you want:

What it does

What does an AI receptionist do for an immigration law firm?

It answers the calls your team cannot. The AI voice agent greets the caller, says it is an AI, asks your intake questions, and books a consultation on your calendar. It can transfer the call to a live person. After the call it can send a text or email, update the lead's record and assign a task to staff. The same assistant replies to texts and social messages.

Missed-call text-back

Nobody answered. The lead still got a reply.

After 15 seconds of ringing, a text goes out. The conversation lands in your inbox, not in voicemail.

Timing and copy shown are an example. Opt-out language is included in every first text.

Can an AI receptionist handle a Spanish-speaking caller from start to finish?

Yes, for routine intake. Spanish is a supported language for our AI voice agent, and a multilingual setting lets it answer in the language the caller speaks. It can collect details, explain next steps and book the consultation in Spanish. Texts follow in Spanish too. Anything legal, urgent or unclear goes to the person your firm names. Other languages are available; test each one with real calls before launch.

Running Spanish ads too? Pair this with Facebook ads for immigration law firms.

Sample script. Your firm approves the final wording.

Missed-call text-back

How does missed-call text-back work when nobody can answer?

If a call rings out, the caller gets a text. The recommended wait is 10 to 20 seconds of ringing before the text fires. The text says who it is, asks how the firm can help and offers a booking link. It respects opt-outs, so anyone who has texted STOP is not messaged. It sends a regular text, and a separate WhatsApp version exists for firms that use WhatsApp.

Guardrails

What should an AI receptionist never say to an immigration caller?

It should never give legal advice, predict an outcome, or say whether someone qualifies for a visa, asylum or relief. It should never pretend to be a person. It should never promise a call-back time your staff cannot meet. It should never repeat case details to someone who may not be the client. We script it to answer “Can I...?” with “An attorney can tell you that.”

It says:
“I am the firm's virtual assistant, an AI.”“An attorney can answer that at your consultation.”“Would you like to speak with a person?”
It never says:
“You qualify.”“You will win.”“Don't worry about your court date.”
Escalation

How are urgent calls handled: detention, court dates, removal?

By rule, set by your firm before launch. When a caller mentions detention, an upcoming hearing, a removal order or a filing deadline, the AI stops intake and transfers the call to a person or flags it for an urgent call-back. Your firm picks the words that trigger it, the people who get the call and the backup if nobody answers. The AI tells the caller what will happen next.

Caller says
What happens
Detained, “ICE”, “custody”
Live transfer to your on-call person
Hearing or court date soon
Live transfer, or an urgent task for staff
Asks for a person
Transfer or call-back, never another bot
Already has a lawyer
Polite close, no intake

Sample rules. Your firm sets the trigger words, the on-call person and the backup.

AI or people

Is an AI receptionist a good idea, or is a human answering service better?

For first contact at any hour, an AI receptionist picks up without hold times and keeps a record of each conversation. Human services such as Ruby offer live people in English and Spanish and do not use AI that answers on its own.1 Many firms do best with both: AI on first contact and a person from your team on every booked consult. See how that works in legal intake services for immigration law firms.

Cost

How much does an AI receptionist cost compared with a legal answering service?

Pricing models differ more than prices. Smith.ai's AI receptionist bills per call.2 Ruby sells live-answering plans by the minute, with extras for bilingual answering and scheduling.1 Our AI receptionist is set up inside the Rocket Reach build, and phone, text and AI usage are billed by use. We confirm those costs in writing before work starts, so watch for per-minute surprises in a busy ad month.

Booking and handoff

Does it book consultations and sync to Docketwise or Clio?

It books consultations on your Google or Outlook calendar, using only the times you approve, and sends reminders by text and email. When a lead signs, Rocket Reach hands the contact to your case software. Clio Manage and MyCase can receive more through Zapier. Docketwise receives the contact only, not a case.9 See how it syncs to Docketwise or Clio.

FAQ

AI receptionist: questions firms ask

How should we test an AI receptionist before launch?

Call it yourself at night, in English and Spanish. Play six callers: asylum, removal defense, family petition, consular processing, U visa, and a caller with limited English. Then read every transcript.

Can we read what the AI said?

Yes. Calls leave a summary on the lead's record, and texts sit in the shared inbox for staff to read and take over.

Does it work with our current phone number?

Your main line can forward calls to it after hours or when nobody answers, so callers keep dialing the number they know.

Will it answer Local Services Ads calls?

It answers any call forwarded to it. LSA leads do not sync into the CRM on their own, so we route them through a tracking number. Local Services Ads can show a booking button tied to your calendar.

Is the AI a lawyer or paralegal?

No. It is software that collects information and books time with your team.

What if the AI gets something wrong?

Your firm approves its scripts and answer sources. We review conversations with you and fix the script. Anything sensitive goes to a person.
