Definitions

What is a legal intake service, and how is it different from an answering service?

An answering service picks up the phone and takes a message. A legal intake service goes further: it screens the caller with the firm's questions, books the consultation, follows up with people who do not book, and tracks each lead to a signed retainer. Ours puts AI on first contact and keeps your people on decisions. If you only need calls answered, compare options in our legal answering service guide.

Roles

What is the difference between a paralegal and a legal intake specialist?

A legal intake specialist works before a person becomes a client. They answer inquiries, collect facts, check basic fit, and book the consultation. A paralegal works after the retainer is signed, on legal work an attorney supervises, such as preparing forms and organizing evidence. In many small immigration firms, one person does both, so new leads wait while forms get filed. Neither one gives legal advice.

Intake specialist: before the retainerAnswers inquiries, collects facts, checks basic fit, books the consultation.
Paralegal: after the retainerPrepares forms and organizes evidence, supervised by an attorney.
Outsource or hire

Should an immigration firm outsource intake or hire in-house?

Do both, in layers. Keep a trained person in-house to own booked consultations and anything sensitive, because that is where trust and judgment matter. Move first contact, after-hours coverage, reminders and follow-up to an outside system that never takes lunch. A single hire cannot cover nights, weekends and two languages. A pure outside service does not know your cases. The hybrid covers both gaps.

What does a bilingual immigration intake screen ask?

It asks enough to route the case and book the right consult, and no more. The screen covers case type, any court date or filing deadline, whether the person or a family member is detained, any prior removal order, and country of nationality. It also asks whether they already have a lawyer and how they heard about you. Questions change by case type, and the form can stop early when you cannot help.

Removal or detentionDetained now, next hearing date, prior orders. Urgent: goes to a person.

Who does what

How do AI and your intake staff split the work?

AI handles speed and volume. Your people handle judgment. The AI receptionist answers calls, texts back missed calls, asks screening questions and books the consult in English or Spanish. A named person on your team owns every booked consult, calls urgent cases back, and takes any conversation the AI flags. Rocket Reach CRM keeps both on one record.

Speed to lead

How fast should intake respond to a new immigration lead?

Within minutes, and again and again after that. In one immigration firm's CRM we audited in September 2026, 576 leads received only 88 phone calls and 48 human texts, and 85% of booked consultations got no human call or text first. Karikari & Associates booked 174 intro calls from 535 Meta leads on $1,663.12 in spend. Bookings are not signed cases.

No-shows and old leads

How do reminders and reactivation cut no-shows and lost leads?

Reminders go out by text and email at set times before each consultation, with an easy way to confirm or reschedule. People who miss the consult get a no-show follow-up offering a new time. People who never booked get a follow-up sequence by case type and language that stops when they reply. Old leads can be restarted with reactivation texts. The aim is fewer no-shows, not zero.

Handoff

How does intake hand off to the attorney and to Docketwise or Clio?

The attorney gets the intake record before the consult: case type, answers, source and the full conversation. After the consult, the retainer can go out for e-signature with payment at signing. Once signed, we pass the contact and intake details to Docketwise, Clio, Lawmatics or MyCase through Zapier, Make or an API. Docketwise's Zapier app creates a contact, not a case.1 See Rocket Reach integrations.

Buyer checklist

What should you require from any legal intake provider?

Ask for six things in writing before you sign. Scripts your firm approves. A clear no-legal-advice rule. Names collected for your conflict check. A written escalation rule for detention and court dates. Data that lives in an account your firm owns. Reports that show replied, booked, showed and retained by source. Ask every provider, including us, to put all six in writing.

FAQ

Legal intake services: questions firms ask

Does the AI tell callers it is an AI?

Yes. Bar guidance, including Florida Opinion 24-1, expects intake chatbots to say so.2

Can intake collect the consultation fee?

Yes. We can send a payment link or invoice for the fee through Stripe and other processors.

Do you write the intake questions?

We draft them by case type from your current process. Your attorneys approve the final wording.

What happens on weekends?

The AI answers calls and texts and books consults. Urgent calls go to the on-call person your firm names.

How long do you follow up with a lead?

Our standard sequence runs 90 days, by case type and language, and stops when the person replies. See the immigration law marketing build it sits in.

Can we see what intake said to each lead?

Yes. Calls, texts and messages stay on the lead's record, where your team can read them.
